Ten years ago, "keeping accounts" for a small shop meant a bahi khata, a calculator, and a lot of trust. Today, a GST-registered shop has to issue proper tax invoices, track HSN codes, split tax into CGST and SGST (or IGST for inter-state sales), and be ready for a return every month. Doing that by hand is slow and error-prone — and mistakes on a GST invoice can cost you input-tax credit.

A good GST billing app removes almost all of that friction. But the app store is full of them, and most shop owners pick the wrong one and give up. Let us fix that.

Short on time? The best billing app is the one your staff will actually use every day. Prioritise speed of billing, offline support, and correct GST — in that order. Fancy reports mean nothing if creating a bill takes two minutes.

What a GST invoice must contain

Before comparing apps, know what you are legally required to print. A GST tax invoice for a registered business in India must include:

Any billing app worth using fills all of this in automatically once you have entered your shop details and your items. If you find yourself typing HSN codes or tax splits by hand on every bill, the app is doing its job badly.

CGST, SGST and IGST — the one rule to remember

This trips up almost every new shop owner, so here it is in one line:

If the customer is in your state, split the GST into CGST + SGST. If they are in another state, charge a single IGST at the same total rate.

So an 18% GST sale inside your state becomes 9% CGST + 9% SGST. The same sale to another state is a flat 18% IGST. A billing app should decide this for you the moment you pick the customer's state — you should never calculate it manually.

Sale type Example rate Tax split
Within your state (intra-state) 18% 9% CGST + 9% SGST
To another state (inter-state) 18% 18% IGST
Not GST-registered Bill of Supply (no tax)

7 features that actually matter

Ignore the long feature lists. For a real shop, these are the things that decide whether an app is worth installing:

1. Speed of billing

You should be able to create and print a bill in under 30 seconds — ideally with saved items, quick search, and barcode scanning. This is the single biggest driver of whether your staff keep using the app.

2. Works offline

Shops lose internet all the time. Billing must keep working with no signal and sync later. An app that freezes when the Wi-Fi drops is useless at the counter.

3. Correct GST, automatically

HSN codes, tax slabs and the CGST/SGST/IGST split should be handled for you based on the item and the customer's state — never typed by hand.

4. Thermal printer support

Most counters use a small Bluetooth thermal printer. The app should print clean receipts to it directly, as well as generate a full A4/PDF tax invoice when a B2B customer needs one.

5. Party ledger and udhar tracking

Half of Indian retail runs on credit. The app should keep a running balance for each customer and vendor so you always know who owes you what, without a separate register.

6. Inventory that updates itself

Stock should go down when you sell and up when you purchase, with low-stock alerts. You should not be counting shelves to know what to reorder.

7. Reports you can hand to your accountant

GST-ready sales and purchase summaries, and easy exports, turn return-filing from a weekend job into a five-minute task.

Common mistake: choosing an app because it has the most features. A shop owner who needs to bill 80 customers a day is better served by an app that is fast and reliable than by one with 200 report types they will never open.

Do you even need GST to start?

No. If your turnover is below the GST-registration threshold, you can bill customers with a Bill of Supply — no tax charged, no GSTIN required. A good app lets you start billing today without GST and simply switch it on the day you register. Do not let "I don't have a GST number yet" stop you from getting off paper.

Frequently asked questions

Is a GST billing app mandatory for small shops?

No, it is not legally mandatory. But if you are GST-registered, your tax invoices must carry your GSTIN, HSN codes and the correct tax split. An app fills these in automatically and keeps you audit-ready, which is why most registered shops use one.

Can I use a billing app without a GST number?

Yes. Without registration you issue a Bill of Supply instead of a tax invoice. A good app lets you bill without GST now and switch it on when you register.

What is the difference between a tax invoice and a bill of supply?

A tax invoice is issued by a GST-registered business and shows the GST charged. A bill of supply is issued when no GST is charged — for example by unregistered dealers or for exempt goods.
