Your stock report says six shirts remain, but the customer wants a blue medium and you only have red large shirts. A total quantity is not enough when size and colour decide whether you can fulfil the sale.
For garment shop billing, start with the item identity. Then test what happens to the exact item when you sell, receive or exchange it.
Track the item the customer can actually buy. “Six shirts” and “six blue medium shirts” answer different questions.
Make each sellable item unambiguous
Use a naming convention that staff can follow: style, colour and size. For example, “Cotton Shirt A12 Blue M” differs from “Cotton Shirt A12 Blue L”. Keep the convention consistent on the shelf and in the billing record.
This is a practical way to structure individual product records. It does not imply that every billing app has a dedicated variant-matrix feature. If you need bulk size grids, ask to see that exact feature.
Test stock by size and colour
Start with four blue medium shirts and three blue large shirts. Sell one medium. You should have three medium and three large left. A combined total of six is correct, but only the separate quantities tell you whether the next customer can get their size.
Repeat with two similarly named colours. Let your counter staff select the item without your help. This tests whether the record is usable, not just mathematically correct.
An exchange needs two item checks
A customer exchanges a medium for a large. Check that the accepted returned item goes into the appropriate stock record and the replacement comes out of its own record. If the prices differ, check the amount collected or credited as well.
Do not enter a new sale while leaving the original return unresolved. Keep the original bill reference and follow the app's supported return and adjustment workflow. Ask support to demonstrate it before using it at a busy counter.
Evaluate DAM with a small clothing range
Search Add Product and create clearly named records for a few sizes and colours. Set the correct Unit and Opening Qty. Use New Sale to bill one item, Sales Invoices to review the bill and Stock Report to compare each item quantity.
Test a discounted sale using your normal pricing and check the final bill. If you need barcode workflows, evaluate them separately using the mobile barcode guide. Do not assume barcode labels and garment variants are the same thing.
Will software fix unclear product names?
No. Consistent records and shelf labels are part of the setup. An app helps you use those records, but someone must create them accurately.
What if I sell fabric by the metre?
Test a separate fabric product with the correct unit and fractional quantity. A piece-based shirt test does not validate fabric billing.
Should I test exchanges before buying?
Yes, if exchanges are common in your shop. Test both item movements and any price difference using the current app version.
