Membership businesses live and die by collections. A gym with 200 members, a yoga class of 40, or a small fitness studio all face the same monthly grind: work out who has paid, who is overdue, and who quietly stopped coming. Do it in a diary or an Excel sheet and every month you lose an evening to reconciliation, and some dues slip through.
The fix: a recurring invoice per member. You set the plan and amount once, the bill is created automatically each cycle, and you send it with a payment reminder on WhatsApp. The fees register maintains itself.
Why membership fees need recurring billing
- Same bill, every month: the amount rarely changes, so re-typing it for each member is wasted work.
- Different cycles: monthly, quarterly and annual members all need billing on their own dates.
- Follow-ups: overdue fees need a nudge, not an argument. A dated invoice on WhatsApp does that quietly.
- A clear record: when a member disputes a month, you want one tap to their full payment history.

How to set up membership billing in DAM
From the home screen, tap the search bar (or ⌘K on web), search New Recurring and select the default entry book.
- On the setup page, select your member (party). Add them with name and phone if they are new.
- Tap Add Product or Service. Create a new service or pick an existing one, for example a Gym Membership service. Enter or adjust the membership fee, then tap Add Product.
- Set the start date, then choose the billing frequency (daily, weekly, monthly or yearly). For memberships, pick Monthly.
- Set the end condition: Never, an end date, or after a set number of cycles.
- Tap Create Recurring Workflow. If there are past dates to bill, select them and tap Generate. The workflow is now live and each cycle's invoice is created for you.
- To review it later, search Recurrings and open the member's workflow. The top shows the start date, next billing date, end date, frequency and items; below is the full timeline of every generated invoice.
- To bill the member, tap Generate PDF and choose Consolidated statement. You get a clean bill with the full history, dates, items and total, plus a UPI payment QR when your UPI ID is set. Share it on WhatsApp.

Because every fee posts to the member's party ledger, you always see who is current and who is overdue without a separate register. Share a member's statement on WhatsApp to settle any dispute, and use the same records for your GST returns if you are registered.
Frequently asked questions
How do I manage monthly gym membership fees?
Set up a recurring monthly invoice for each member once. DAM generates the bill automatically every cycle, and you send it and a reminder on WhatsApp instead of tracking fees in a register.
Can I bill different plans like monthly, quarterly and annual?
Yes. Create a recurring bill per member with the plan amount and cycle, so monthly, quarterly and annual members are each billed on their own schedule.
How do members pay?
The invoice carries a dynamic UPI QR with the exact amount, so members scan and pay directly to your account and the payment settles against their ledger.
