Kirana Billing App: Manage Bills, Stock and Udhar Together

In a kirana shop, selling an item is the easy part. The difficult part is remembering whether it was paid for, recording a customer's later payment and knowing what to reorder. If bills, udhar and stock live in separate notebooks, one missed entry can create confusion.

A kirana billing app is useful when it connects those everyday records in a way you can check. Here is a simple workflow to test before you move your shop to an app.

Record the sale when it happens and the payment when it arrives. A credit sale and a collection are different entries.

Morning: check what needs attention

Review low-stock items and pending customer balances. Choose the items that need ordering today based on demand and supplier delivery time. Do not order everything just because it is below a single default threshold.

If you are starting with an app, count a few fast-moving products first. Enter actual opening quantities and existing customer balances after checking the notebook. Do not invent a fresh sale simply to recreate an old opening balance.

At the counter: separate cash from udhar

Consider two example sales. One customer buys ₹180 of goods and pays fully. Another buys ₹420 on credit. Together, sales are ₹600, but collections from those sales are ₹180 and new customer dues are ₹420.

If the second customer later pays ₹200, the balance from that transaction becomes ₹220. Recording this as another sale would inflate sales and leave the credit record wrong. Always use the app's payment workflow for money received against an earlier bill.

When a supplier delivers

Check the goods against the supplier bill: item, pack size, quantity and price. Record the purchase, then distinguish the amount paid from the amount still owed. A purchase entry should not disappear just because you have not paid the supplier yet.

For packaged goods, test a purchase in boxes and a sale in pieces. Loose goods need their own unit and quantity checks. Start with one example of each before adding your complete product list.

Try the daily workflow in DAM

Search Add Product and enter the correct Unit and Opening Qty. Search New Sale to create a bill, then Sales Invoices to find it again. For incoming goods, search New Purchase; use Stock Report to check the resulting quantity.

DAM brings sales, purchases, stock and party ledgers together. Test with a small group of products and a customer whose opening balance you know. Check that you can explain each balance from its entries before relying on it for collections.
