A hardware bill may contain pipes measured in metres, fittings sold by the piece and screws purchased in boxes. The customer may be a contractor who pays later. Software that handles only a simple cash sale is not enough to evaluate your shop's needs.
Before choosing hardware shop billing software, test units, stock and credit together. One realistic bill tells you more than a feature list.
Check the unit on the bill and the quantity in stock. A correct total can still hide an incorrect stock conversion.
Give each item a clear identity
Use names that distinguish size, material and variant. "Pipe" may be ambiguous when your shop stocks several diameters. A clear description reduces the chance of billing one product and taking another off the shelf.
Enter purchase and selling units deliberately. If your supplier delivers a fixed pack, confirm how many pieces it contains. Do not copy a conversion from a similar-looking product without checking.
Test a box-to-piece example
Suppose you buy four boxes of fittings, with ten fittings in each box. You have 40 pieces. Selling seven pieces leaves 33, assuming no opening stock, returns or other movements.
In a second example, you buy five lengths of pipe, each three metres long. The total length is 15 metres. Selling two metres leaves 13 metres only if the product and workflow actually track it in metres. If you track whole lengths, test how cut pieces are represented before relying on the record.
These examples concern quantity. GST treatment, prices and discounts must be entered correctly for the actual product; confirm tax details with your accountant.
Separate contractor billing from collections
A contractor takes ₹8,000 of goods and pays ₹3,000. With no old balance or adjustments, ₹5,000 remains due. Keep the sale, payment and customer balance connected. When the next payment arrives, record it against the appropriate party instead of making another sale.
Agree a payment date and review outstanding balances regularly. An app can keep the record visible, but it cannot guarantee that a customer will pay. Share a clear statement when there is a disagreement over earlier bills.

- Can I print or share a bill that clearly identifies the product variant?
- Are special needs such as cut lengths, multiple storage locations or particular reports demonstrated in the current version?
