A service business can collect money before, during and after the work. Without clear references, a final invoice can accidentally charge the advance again. Agree what will be billed and when, then reconcile the customer’s receipts against the final account.

Define the work and billing arrangement

Write the scope, customer, reference, agreed amount and change-approval process in your project records. Decide whether invoices will be issued at milestones or under another agreed arrangement. Check invoice and tax treatment with your adviser where needed; this guide illustrates operational balances, not statutory timing rules.

Create service items deliberately

Use descriptive service items for work that does not represent physical stock. Keep supplied goods separate if your job includes both goods and services. A short description such as “website setup, agreed scope dated 5 October” is easier to identify than an unexplained “service charge”.

Reconcile an advance example

For agreed work of ₹12,000, the customer has paid ₹3,000 in advance and another ₹4,000 later. With no other dues or adjustments, the remaining amount is ₹5,000. Preserve both receipt references. If invoices are issued in stages, check their combined amount against the agreement so the same work is not billed again on completion.

Record scope changes before charging

Capture approval for extra work and the agreed price before adding it to the account. An extra ₹2,000 would increase the example balance to ₹7,000 if unpaid. Keep the approved change with your own work records and identify it clearly on the appropriate invoice.

Close the customer account

Check the final charges, all confirmed receipts and any agreed adjustments before sharing a statement. Use DAM for service invoices and customer payment balances.
