A member’s attendance, membership period and fee balance describe different things. A useful fee register tells staff what was agreed, what was charged and what has been paid. It should not rely on a trainer remembering whether a member settled last month.
Write down the fee agreement
Record member identity, fee period, agreed price, start date and renewal terms. Capture any pause or cancellation arrangement in the member’s own records. A pause request is not automatically a refund or a billing adjustment; decide it using the agreed policy.
Calculate a simple member balance
A member has ₹300 in verified older dues. This month’s fee is ₹1,500, and they pay ₹1,000. The balance is ₹800: ₹300 + ₹1,500 − ₹1,000. If a ₹200 adjustment is subsequently agreed and correctly recorded, the revised balance is ₹600. Keep the reason for the adjustment visible.
Check pauses before recurring charges
Review accepted pauses and changed plans before posting the next fee. Test a recurring schedule with one member and confirm the period and amount. Do not interpret a recurring accounting entry as an automatic bank debit or proof that payment was collected.
Follow up with a specific message
State the member’s fee period and outstanding amount, then ask them to share a receipt reference if they have already paid. Match that reference against the actual receipt before changing the balance. Avoid reminders based on an old screenshot of the account.

Maintain member charges, payment records and remaining balances in DAM. Keep attendance, workout programmes and membership access in the systems you use for those tasks.
