A recurring schedule is a useful starting point, but customers travel, change quantities and request extra milk. Month-end bills should reflect actual supply. Keep an exception register throughout the month instead of trying to reconstruct every change on the last day.

Agree the starting quantity and rate

Record the customer, daily litres, rate per litre, delivery start date and billing arrangement. Confirm whether an instruction is permanent or applies to a single date. A clear cut-off for change requests helps your team distinguish an accepted change from a message received after delivery.

Calculate the supplied litres

For a 30-day month, a customer’s normal quantity is one litre per day. Three accepted skipped days reduce it to 27 litres. Five supplied days have an additional half litre, adding 2.5 litres. Total supplied quantity is 29.5 litres. At ₹60 per litre, supply charges are ₹1,770.

Add old dues and subtract receipts

If verified opening dues are ₹200 and the customer has paid ₹1,000, closing dues are ₹970: ₹1,770 + ₹200 − ₹1,000. Keep the receipt date and reference. A skipped day changes supply charges; a payment changes the balance. Treating a payment as a negative delivery makes the register harder to explain.

Review recurring entries against exceptions

Use DAM’s recurring billing workflow where suitable, then check the generated entries against accepted skips and quantity changes. Review a small test period before relying on the schedule for all customers. Recurrence alone is not proof that the physical delivery happened.

Share a statement customers can check

Include the billing period, supplied quantity, agreed rate, opening dues, payments and final balance. Keep your date-wise exception register available for questions.
