Newspaper accounts can involve more than one publication, changing cover prices and customer leave dates. A fixed monthly amount is suitable only when it matches the agreement. Keep the publication and billing method clear before using a recurring charge.
Record the subscription precisely
List each publication, start date, agreed rate basis and any separately agreed service charge. Confirm whether the customer pays a fixed monthly plan or the total of actual supplied copies. Do not mix these two methods when explaining a bill.
Work through a daily-rate example
A fictional 30-day period contains 26 ordinary editions at ₹6 and four Sunday editions at ₹8. Before skips, the charge is ₹188: 26 × ₹6 + 4 × ₹8. The customer has two accepted leave days, both ordinary editions, so subtract ₹12. Supplied-paper charges are ₹176. Add a service charge only if separately agreed.
Check leave dates against supplies
Record when the customer requested the pause, the accepted dates and the restart date. Check the delivery record before subtracting copies. An instruction that arrived after a copy was delivered should be resolved according to the agreed terms, rather than automatically treated as a skipped delivery.
Keep receipts outside the copy count
If opening dues are ₹50 and a confirmed payment of ₹100 is received, the balance for the example is ₹126: ₹176 + ₹50 − ₹100. The receipt does not change the number of supplied newspapers. Include its date and reference so the customer can recognise it.
Review the recurring account each month
