A customer can have an unpaid water bill and several empty jars at the same time. These are different balances: one is money, the other is a container count. Use a supply and payment ledger alongside a separate jar-return and deposit register so each question has a clear answer.

Set up two linked records

For supplies, record customer, date, jars delivered, rate and bill reference. For containers, record opening jars held by the customer, full jars handed over, empties collected and closing jars held. Use the same customer reference in both. Keep deposit terms and any refunds in a separate clearly labelled record.

Calculate the container balance

A customer starts with two jars. You supply twelve full jars during the month and collect eleven empties. The customer holds three jars at closing: 2 + 12 − 11 = 3. This does not mean three jars were supplied during the month, and it does not automatically create a charge. Apply only the terms agreed with the customer.

Calculate the water account separately

Twelve supplied jars at ₹40 each create ₹480 in water charges. With ₹100 in verified opening dues and ₹300 received, the water balance is ₹280. Do not add a refundable deposit to water sales or count empty jars as negative water deliveries. Keep any deposit receipt and later refund identifiable.

Record the handover on the delivery day

Ask the delivery team to note both full jars supplied and empties received. If the customer disputes the count, compare date-wise entries and handover evidence before adjusting it. An extra jar supplied outside the usual schedule also needs an account entry; recurring billing alone cannot capture every exception.
